Terms and Conditions

1. Introduction

These Terms and Conditions govern your use of services provided by Event Collection Group Ltd ("Event Collection", "we", "us", or "our"). By booking an event with us, you agree to be bound by these terms.

2. Definitions

  • "Client" means the individual or organization booking event services
  • "Event" means any corporate event, team building activity, or entertainment service provided by Event Collection
  • "Booking" means a confirmed reservation for event services
  • "Venue" means the location where the event takes place

3. Bookings and Payment

3.1 Booking Confirmation

A booking is confirmed once we receive a signed booking form and the required deposit payment. All bookings are subject to availability.

3.2 Deposit

A non-refundable deposit of 50% of the total event cost is required to secure your booking. The deposit must be paid within 7 days of receiving the invoice.

3.3 Final Payment

The remaining balance must be paid no later than 14 days before the event date. Events will not proceed if full payment has not been received.

3.4 Payment Methods

We accept payment by bank transfer, credit card, or company purchase order (subject to credit approval).

4. Cancellations and Amendments

4.1 Client Cancellations

  • More than 60 days before the event: Loss of deposit only
  • 30-60 days before the event: 75% of total event cost
  • Less than 30 days before the event: 100% of total event cost

4.2 Amendments

Changes to bookings (date, venue, participant numbers) must be requested in writing. We will accommodate changes where possible, but cannot guarantee availability. Amendments made within 30 days of the event may incur additional charges.

4.3 Force Majeure

If an event cannot proceed due to circumstances beyond our control (including but not limited to severe weather, venue closure, government restrictions, or acts of God), we will work with you to reschedule or provide alternative arrangements. No refunds will be provided in force majeure situations.

5. Client Responsibilities

5.1 Participant Numbers

Final participant numbers must be confirmed 7 days before the event. You will be charged for the confirmed number or actual attendance, whichever is higher.

5.2 Health and Safety

Clients must inform us of any medical conditions, disabilities, or special requirements of participants that may affect their participation in activities. Participants must follow all safety instructions provided by our staff.

5.3 Conduct

Clients are responsible for the behavior of their participants. We reserve the right to refuse service or remove individuals whose behavior is deemed inappropriate, dangerous, or disruptive.

6. Our Responsibilities

6.1 Service Delivery

We will deliver the services as described in your booking confirmation. We reserve the right to make minor changes to activities or equipment if necessary, ensuring equivalent quality and value.

6.2 Insurance

Event Collection holds £5 million public liability insurance. We conduct risk assessments for all activities and venues.

6.3 Staffing

All our event staff are trained, experienced, and DBS checked where appropriate.

7. Liability

7.1 Limitation of Liability

Our liability is limited to the total value of your booking. We are not liable for indirect or consequential losses, including but not limited to loss of profits, business interruption, or reputational damage.

7.2 Personal Injury

Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence.

7.3 Third Party Venues

Where events take place at third-party venues, we are not responsible for the condition, safety, or suitability of the venue. Clients should review venue terms and conditions separately.

8. Intellectual Property

All materials, designs, and content provided by Event Collection remain our intellectual property. You may not reproduce, distribute, or use our materials without written permission.

9. Photography and Marketing

We may take photographs and videos during events for marketing purposes. By booking with us, you consent to the use of such materials unless you notify us in writing before the event. Individuals who do not wish to be photographed should inform our staff on the day.

10. Data Protection

We process personal data in accordance with UK GDPR and our Privacy Policy. By booking with us, you consent to our use of your data as described in our Privacy Policy.

11. Complaints

If you have any concerns about our services, please contact us immediately. We aim to resolve all complaints within 14 days. Complaints must be submitted in writing within 7 days of the event.

12. Governing Law

These Terms and Conditions are governed by the laws of Scotland. Any disputes will be subject to the exclusive jurisdiction of the Scottish courts.

13. Changes to Terms

We reserve the right to update these Terms and Conditions at any time. Changes will be posted on our website and apply to bookings made after the update date.
